Terms & Conditions for FAOPMA–Pest Summit Host Applications

By completing and submitting the FAOPMA–Pest Summit Host Application Form, the applicant association (“Host”) agrees to the following Terms & Conditions:

Eligibility

  • Only current FAOPMA member associations in good standing may apply to host a FAOPMA–Pest Summit.
  • The Host must demonstrate capacity and financial stability to deliver a world-class event.

Accuracy of Information

  • All information provided in the application must be true, complete, and accurate at the time of submission.
  • Any significant changes affecting the responses provided must be promptly disclosed to FAOPMA.

Evaluation and Feedback

  • Applications will be evaluated by a committee appointed by the FAOPMA Executive Committee.
  • Scoring is final and at FAOPMA’s sole discretion.
  • All applicants, successful or not, will receive formal feedback but no obligation exists for FAOPMA to disclose scoring breakdowns.

Compliance with FAOPMA Requirements

  • The Host agrees to comply with FAOPMA’s policies, branding, sponsorship rules, and any other guidelines issued for the event.
  • The Host will collaborate with FAOPMA on the development of the Summit program, marketing, and reporting.

Financial Obligations

  • The Host agrees to pay a non-refundable hosting fee of USD $10,000 to FAOPMA no later than 18 months prior to the event.
  • The Host agrees to remit 5% of the net profit from the event to FAOPMA within three months of the event’s conclusion.
  • The Host will be responsible for all local event costs, including venue hire, logistics, and suppliers.

Supporting Documentation

  • The Host agrees to provide supporting documents as requested by FAOPMA (e.g., financial accounts for the last three terms, evidence of venue capacity, sponsorship commitments).

Risk and Liability

  • The Host bears sole responsibility for compliance with all applicable laws, permits, insurance, and safety requirements in the host country.
  • FAOPMA will not be liable for losses, costs, or damages arising from the Host’s performance of its obligations.

Timeline and Reporting

  • The Host must submit a detailed project timeline with milestone reporting to FAOPMA.
  • Regular progress updates must be provided as requested.

Termination of Host Status

  • FAOPMA reserves the right to revoke hosting status if the Host fails to meet agreed timelines, financial obligations, or other material requirements. In such cases, the hosting fee is non-refundable.

Acceptance of Terms

  • Submission of the application form constitutes acknowledgement and acceptance of these Terms & Conditions.
  • The person signing the form must have authority to bind the applying association.
